Refund and cancellation policy

This policy applies to consultations offered by Sense Routecore Co., Ltd.: Terminal Operations Assessments, Capacity Planning Reviews, Seasonal Peak Briefings, and Planner Workshops.
Eligibility
Refunds depend on how far the engagement has progressed and whether reserved observation slots or venues can be released. Requests must be sent in writing to hello@sense-routecore.click.
Timeframe to request
Cancellation or refund requests should arrive at least ten business days before the first scheduled observation day or workshop date. Later requests are considered only for partial refunds where unused work remains.
Full refund
A full refund of fees paid is available if we cancel the engagement for reasons within our control, or if you cancel in writing before we begin paid work and before any deposit deadline stated in the quotation has passed without kickoff.
Partial refund
If observation or desk work has started, we may refund the unused portion after deducting completed work at the rates in the statement of work and any non-recoverable travel or venue costs already incurred with your approval.
Non-refundable items
- Completed observation days and delivered interim notes
- Completed workshops or live briefings
- Third-party venue deposits paid on your instruction
- Airside escort fees already charged by the airport authority
Deposits
Deposits secure calendar time. If you cancel fewer than ten business days before start, the deposit is forfeited unless we fill the slot with another client, in which case we may refund the deposit minus an administrative fee of THB 5,000.
Rescheduling
One reschedule with at least seven business days’ notice is usually accepted without fee, subject to analyst availability. Further reschedules may incur a THB 8,000 administration charge.
No-shows
If your team fails to attend a booked workshop or briefing without notice, the session fee is charged in full. Assessment observation days cancelled on the day may be billed as delivered if escorts and analysts were already mobilised.
Work already started
Draft reports, annotated maps, and analysis completed before cancellation remain billable. You receive copies of completed work product upon settlement of outstanding invoices.
Refund process and timing
Approved refunds are processed to the original payment method within fourteen business days of written approval. Bank transfer refunds may require your account details confirmation.
